IAAP – CAP® Exam Preparation Course – Office and Records Management

Overview

SELECT Training’s CAP® (Certified Administrative Professional) Exam Preparation Course aims to provide the delegates with an overview and understanding of the benefits of earning and maintaining this certification, its requirements and exam format. The course will explore the content of the CAP Body of Knowledge and strategies to help them pass the exam.

Objectives

  • Gain an overview of the IAAP – CAP® (Certified Administrative Professional), the benefits of earning the CAP® credentials and eligibility requirements
  • Identify core resources that would help delegates prepare further for the exam
  • Explore the CAP BOK (Body of Knowledge), its domains and performance outcomes amount and what percentage of content is covered on the exam
  • Understand the fourth domain of the CAP Body of Knowledge – office and records management and its performance outcomes:
    • Demonstrate knowledge of basic terminology associated with records management using ARMA (Association of Records Managers and Administrators) International Guidelines
    • Identify the key advantages and disadvantages of electronic and manual (paper) file management based on ARMA International Guidelines
    • Demonstrate knowledge of both electronic and manual (paper) filing rules and standards based on ARMA International Guidelines
    • Identify the appropriate security for both electronic and manual files
    • Demonstrate knowledge of file retrieval, maintenance and retention
    • Identify appropriate ergonomics for a productive personal workspace
    • Demonstrate knowledge of resources necessary to efficiently manage an office
    • Identify the important methods of checking and maintaining office supplies
    • Demonstrate knowledge of functioning in a virtual office

Day One

Introduction to IAAP – CAP® (Certified Administrative Professional)

PO 1: Demonstrate knowledge of basic terminology associated with records management using ARMA guidelines.
  • Prove knowledge of terms such as metadata, records retention, and data archiving
  • Demonstrate familiarity with terms used by ARMA and general records management
PO 2: Identify the key advantages and disadvantages of electronic and manual (paper) file management based on ARMA guidelines.
  • Demonstrate usage of both paper and electronic filing systems as appropriate based on access requirements and organizational needs
PO 3: Demonstrate knowledge of both electronic and manual (paper) filing rules and standards based on ARMA guidelines.
  • Describe types of electronic files, naming conventions, options for accessing and methods of altering information
  • Exhibit knowledge of available software, systems and services for electronic filing
  • Describe the different methods for creating, storing and retaining files
PO 4: Identify the appropriate security for both electronic and manual files.
  • Identify the key laws regarding record storage and confidentiality
  • Describe both the strengths and weaknesses of types of record and file security

Day Two

PO 5: Demonstrate knowledge of file retrieval, maintenance and retention.
  • Describe how to develop a record retention schedule for both electronic and paper files
PO 6: Identify appropriate ergonomics for a productive personal workspace.
  • Describe the significant elements of workspaces and why they are important to efficient and effective working conditions
PO 7: Demonstrate knowledge of resources necessary to efficiently manage an office.
  • Describe the steps in placing and receiving supply orders
  • Describe the process of creating and distributing an RFP (Request for Proposal)

1. Certification eligibility
  • No college degree – 4 years of relevant work experience is required
  • Associate degree – 3 years of relevant work experience is required
  • Bachelors’ degree – 2 years of relevant work experience is required
2. Exam overview
  • A written 300-multiple-choice format
  • Approximately 3½ hours to complete
  • Delivered via assessment system’s approved computerised testing centres
  • Based on the CAP Body of Knowledge
3. Re-certification requirements
  • Three-year recertification cycle
